TOPS [ONE] Release To Be Released Monday

TOPS_ONE_Update.pngThe TOPS [ONE] development team continues to work hard on new additions and updates to the software in anticipation of the big announcement to open the platform to existing TOPS clients.

The following new releases will be live in TOPS [ONE] monday. As a web-based product, there is no action for TOPS [ONE] users to take. Your TOPS [ONE] platform is automatically updated in the cloud.

Here's what's new:


  • Banks
    • Banking has been redesigned. Previously, a single bank would be assigned to a single community’s GL account.
    • Banks have now taken on a global role. A single bank can have any number of community accounts attached to it.
  • Communities (Now with Sorting!)
    • Community, Property, and Owner lists now have sorting options available.
  • Communities
    • Active Work Orders and open AP items will display with the associated vendor below the activity feed on the community profile page.
  • Owners
    • Addresses - Alternate mailing addresses have been implemented.
      By selecting the ‘Primary Address’ button, TOPS [ONE] will utilize this address when printing labels and documents for that property and owner.
  • Bug Fixes
    • Adding new custom fields and attaching custom fields to agents will now lead to the correct pages
    • Resolved an issue where the google road map was displaying a grey box/outline
    • Resolved an issue where certain community agents (amenity, attorney, committee, insurance info, policies) would not list or add properly

Accounts Receivable

  • Invoices and Statements
    • Statements screen is now community specific
  • AR Adjustments
    • Can now make adjustments to previous owners

Accounts Payable

  • Vendors
    • Two new panels have been added below the activity feed. One detailing the relationship between the vendor and any communities with open AP items and/or Work Orders, and another for insurance policies associated with the vendor.

General Ledger

  • Bug Fixes
    • Resolved an issue where transactions were posting to the GL for double the amount for cash accounting communities


  • The link for ‘Architectural’ has been removed. Previously, it would lead to a page where no meaningful action could be taken. Look for its return in future updates


Automation has received extensive maintenance to increase usability and decrease the likelihood a job will not run at the desired time

  • Scheduling Jobs
    The process for creating scheduled jobs has been redesigned. It is now consistent across the application in addition to being more intuitive. The affected functions include: Accounts Receivable Charge functions, Accounts Payable Enter Bill functions, Journal Entries, Work Orders, and Service Requests:
    • ‘This Time Only’ – The transaction will accrue as normal at the time of creation. This option does not create a job.
    • ‘Schedule – Accrue and Notify Me’ – The transaction will accrue, but not post at the set date/time. It will appear in the relevant activity feeds and a notification will generate. From here, the user can review the transaction and make any necessary edits before posting.
    • ‘Automate – Automatically Post Transaction’ – The transaction will automatically post at the set date/time. It will appear in any relevant feeds and can be.
  • Automation
    • The automation page has been updated. Jobs can be set to active or inactive. This scheduled jobs list will display only active jobs by default.
    • To view inactive jobs, the ‘Show Inactive Jobs’ button in the top right is available.


A brand new custom financial report builder has arrived. Users can create basic financial reports that allow for display of various accounts ranges within a given date range.

  • Custom Reports
      1. Report Definition - Allows the user to decribe and name the type of report the user is creating.
      2. Custom Report Creator - Allows the user to add elements that can be used to create a custom report.
      3. Options - Lets the user select the period and filter out cost centers.
      4. Export - Allows the user to select the format the report is exported in and its orientation.
      5. Refresh/Save - the user can refresh and save the report.


A brand new admin page has been created to provide easier viewing and access to all major agents in the application:
  • Bug Fixes
    • Resolved an issue where adding a new user would ‘load’ indefinitely
    • Resolved an issue where newly created users were not saving


  • Ideas
    • The TOPS [ONE] ideas section is now open for your feature and enhancement requests! Click here to submit your ideas.
  • Bug Fixes
    • TOPS [ONE] will now automatically log a user out after a certain amount of inactivity. After 14 minutes, a warning will appear. If no additional actions are taken within the next 60 seconds, the user’s session will end.
