TOPS [ONE] Release 2.1.3.2 Is Now Live

TOPS_ONE_Update.pngThe TOPS [ONE] development team continues to work hard on new additions and updates to the software in anticipation of the big announcement to open the platform to existing TOPS clients.

The following new releases are live in TOPS ONE today. As a web-based product, there is no action for TOPS [ONE] users to take. Your TOPS [ONE] platform is automatically updated in the cloud.

Here's what's new:

Navigation

We have made a number of improvements to navigation in TOPS [ONE], from quick action buttons on card views that allow you to quickly access key information to new submenu navigation menus that allow you to quickly get between functions or reports without the need to return to the menu.

    • We've updated the primary KPIs (Key Performance Indicators) and navigation elements on the Home Page – Removed Vendors and Banks. Added Work Orders, Service Requests, and Violations
  • Bug Fixes
    • The breadcrumb on the accounting setup page has been updated to be more in line with recent navigation changes
    • Newly created tasks will have a default priority of ‘Medium’

Portfolio

New buttons have been added to the community, property, and owner lists that will link directly to violations, work orders, and service requests. On the property and owner lists, a call button will open the phone application on your device and load the main phone number on file for that property or owner.

  • Importing Data
    We've added the ability to import homeowners with accounting history into TOPS [ONE]. This function will make it easier, not only for new TOPS [ONE] clients to load data into the platform, but will also make onboarding new communities significantly easier. The import uses a structured Excel file so community data can be imported from any other program. The imported owner history will be handled as follows:
    • Owner_History_Import.png
      Beginning Balances will be displayed in the Owner Activity Feed, similarly to how they would display if one had entered the numbers manually into TOPS [ONE]. All transactions going forward for imported owners will be treated normally in TOPS [ONE].
    • Related_Links.png
      Full owner history with prior transactions will be accessible via the Related Links section on the Owner's page.
    • Activity_Report.png
      The full imported Legacy history will be displayed as above in a read only display.
  • Bug Fixes
    • Resolved an issue where the notification panel would not display correctly on screens with street view/road map
    • If there is no panoramic Google street view for an entered address, TOPS will only display the road map instead of a blank box where the street view is located

Accounts Receivable

    • Click the down arrow to the right of the page name in the Breadcrumb trail to quickly switch between reports without the need to go back to the menu and start a whole new report process.
  • Notifications

    • We've added the text ‘Last Run’ to the Charge Indicators panel to clarify the purpose of the date listed. In the event the function has not been run at all, the text ‘Not Run’ will appear instead of ‘NO’
  • Bug Fixes
    • Coupons will now generate with the correct charge code category for owners.

Accounts Payable

  • Vendors

    Recurring Bills can now be scheduled to run automatically. When this checbox is enabled, the schedule job function will appear.

    • Schedule – This will schedule the transaction based on the options selected. Scheduled jobs will accrue automatically, but not post. The bill will still need to be manually posted.
    • Automate – This will schedule the transaction based on the options selected. Automated jobs will accrue AND post the bill at the set interval(s)
  • Payments
    The payment AP functions have been reworked. They are now community specific similar to the AR Charge functions and the AP Bill function.

  • Bug Fixes
    • Printed checks will now appropriately generate based on the selected format (i.e. Top, Middle, Bottom).
    • Printed checks will now appear in the payments activity feed.
    • Resolved an issue where lockbox payments were posting one date prior to the date entered.
    • Handwritten check types will now have a field to enter check number.
    • AP transactions on applicable activity feeds now describe the transaction type.
    • Resolved an issue where vendors could not be created.

General Ledger

  • Transaction Comments in Activity Feeds

    • We have added the ability to add comments to any financial transaction. These comments will be displayed in transaction details as well as in any activity feed that displays the transaction. Users will be able to view existing comments as well as add additional comments.
  • Code Setup

      Throughout the program, we have added alerts to indicate when code types are missing, causing the expected behavior to be unavailable.
    • Column_Names_in_Add_Codes.png
      The Add Codes section should be easier to understand with the new column names to describe the data being displayed.
    • The add/edit code process is now only one screen.
  • Bug Fixes
    • Fixed an issue where some transactions would not appear in the logical date range for bank reconciliation.

Work Order

  • Service Requests & Work Orders

    • You may now automate recurring work orders and service requests. This is great to schedule inspections in Service Requests, or preventive maintenance in Work Orders.
    • To activate recurrance settings, click the Is Recurring object in the record and define your scheduling options.
    • Work Orders and Service Requests will automatically post based on the selected criteria.
  • Codes / Setup
    • Throughout the program, we have added alerts to indicate when code types are missing, causing the expected behavior to be unavailable.
  • Bug Fixes
    • Attached images will now display for work order items in the activity feed.

Reports

Reports got all kinds of love this month based on our Pilot users feedback. Look for easier navigation between reports, more room to drill down into reports and a brand new report!

  • Settings Panel

    • Customers have told us that you would like more room on the page to explore the report details once you have chosen the report's settings. We've responded with a new ability to minimize the setting panels. Simply click the arrow icon to the right side of the title on the panel.
  • Administration Reports

      A new report has been added to the Administration Reports section. This new report, called the Activity Report, will allow the administrator to track all activities by a specific community or user.

      The new Activity report is helpful for auditors on the community level, to track employee performance or to hunt down potential fraudulent behavior. Access the new report by going to Reports > Administration > Activity.
